Associate Officer – Child Sponsorship

Salary and benefits : Monthly Gross Salary will be 35,700/- with other admissible benefits such as festival bonus, provident fund, gratuity, medical benefit, group life insurance etc.

Job Summary

The post holder will be responsible for serving the supporters of the UK, Italy, Greece, Sweden, Spain, Australia and the USA to ensure smooth supporter servicing for ActionAid Bangladesh. This position will be responsible for preparing regular and special reports: Progress Report (PR), Community News Letter (CNL), Child Sponsorship Stories, and other communication materials for the respective Local Rights Programme as per assignment.

Building capacity of Partner NGO staff through organizing training, orientation and other capacity building initiatives will be a core responsibility among others. The incumbent will maintain regular communications with Local Rights Program, Funding Affiliates (FAs) and Printing houses as well as proof reading and content checking of various reports and publications based on Local Rights Program activities. Field visits to monitor and support sponsorship activities and perform other ActionAid Banagladesh (AAB) initiative are required.

This position will also be responsible for handling web-based data management and dealing with the individual supporter’s correspondence, responding to welcome letters, servicing supporter’s queries and complaints, preparing Child Profiles along with quality photographs of assigned Local Rights Program s.

Additionally, the post holder will provide support in:

  • managing the Child Tracking MIS of the sponsored children.
  • archiving the publications coming from community journalist group across the country
  • proof and content checking of the half-yearly publicationspublishedby the Community Journalist Groups ofLocal Rights Programs.

The post holder will also maintain rapport with country-wide Fine Arts Institutions to facilitate capacity buillding of the field level Sponsorship Focal persons and also to encourage children’s creativity for ensuring dissemination of quality child messages.

Key responsibilities include (not limited to)


  • Theme selection for the communication plan
  • Share communication plan with Local Rights Programs
  • Collect draft report with case studies and photographs from Local Rights Program
  • Collect information and regular follow up to Local Rights Programs for preparing the report
  • Prepare the first draft and sending to Funding Affiliates (FA).
  • Ensure the final approval by providing information if necessary
  • Design the layout for FA approval
  • Ensure the printing and final dispatch of the report
  • Issue work orders and ensure bill payment to Designers and Printers
  • Maintain regular communications with Local Rights Programs, Funding Affiliates and Printing agencies.
  • Prepare other relevant reports for Sponsorship purpose.

Management of Web-based Database (NK), and Child Tracking MIS:     

  • Facilitate overall process and ensure proper data management on NK within deadline
  • Perform all periodic works of Child Messages (CM), Photo & Child History management for servicing individual supporters
  • Take regular action to ensure timely collection of Chid Profiles, Child Message, Transfer packs, Welcome Packs, Photo Update (PU) etc.
  • Generate CM & PU collection list from NK
  • Sending CM Formats, PU Cards and collection lists to respective Local Rights Programs
  • Guide and oversee CM, Field Workers updates & PU quality in accordance with One Stop Service Manual
  • Ensure timely collection of Child Profiles, Child Messages and Photos from the Local Rights Programs
  • Dispatch all planned communication packs to supporters within deadline
  • Log CM & PU processes and update other Sponsorship communication issues through NK data-management system
  • Manage Absentees & Dropouts, hand over the Child Messages along with envelops for dispatching and follow up on dispatching.
  • Manage supporter correspondence and logging in NK.
  • Coordinate envelop printing process
  • Ensure timely dispatching of communication packs.
  • Ensure collection, compilation, analysis, report generation and dissemination of the Child Tracking MIS.

Capacity Building and LOCAL RIGHTS PROGRAM visit:   

  • Training Needs Analysis of Local Rights Programs  sponsorship staff and share with sponsorship Manager
  • Arrange workshops for both in-house team and Local Rights Program staff.
  • Arrange field visits for supporters and peer colleagues (Country Program, FA) and accompany them
  • Arrange exposure/exchange visits for Local Rights Program staff.
  • Participate in Sponsorship national and international workshop and training events.
  • Facilitate training events and workshops for national level training.
  • Provide necessary training and support to Local Rights Program staff during field visits.
  • Organise training/workshops on drawing for Local Rights Program staff. Facilitate drawing support to children by involving Fine Arts personnel. 
  • Manage MoU with the Fine Arts of University of Dhaka and other joint initiatives.
  • Participate in Sponsorship related national and international workshops and training as required.

Participate in Project Cycle Management:          

  • Participate in Sponsorship Local Rights Program appraisal and report preparation.
  • Monitor Local Rights Program sponsorship activities through field visit.
  • Participate in Participatory Review and Reflection Process, Mid Term Review and Phase-out impact assessment.

Community Journalist Group activities:               

  • Edit the Grassroots Newsletter published by the Community Journalist Group members of the Local Rights Program.
  • Archive CJG publications by 28 Local Rights Program coming from across the country.

Plans & Budget:              

  • Provide input while preparing budget for Sponsorship.
  • Monitor budget of the assigned Local Rights Programs.

S/he will report to Manager – Sponsorship of ActionAid Bangladesh. S/he is expected to maintain functional relationship with his/her peers in team, priority, project management team. S/he must be able to communicate with other teams and units, both programme and function of AAB. S/he is expected to maintain relationship with relevant Government, Non-government agencies, funding affiliates and others.

Required Educational Qualification and Experience

  • Master’s degree in relevant field (Social Science, Statistics, Demography, English);
  • 02 years of experience in development sector;

Technical Skills

  • Writing Reports and Case Studies
  • Knowledge on Managing web-based data management system
  • Photography skills.

Required IT Competencies:

  • English: Fluency in speaking and writing.
